The story

Who it is for, what changes, and why it sticks

01

Audience

Who uses it

  • Founders and small sales teams who run cold email from their own domains and mailboxes.
  • Revenue operations people who want sending, replies, and follow-ups in one place they control.

Typical situation

  • You have lead lists and several sending mailboxes, and want personalised multi-step sequences without paying per seat for a separate sequencer.
  • Replies arrive across many inboxes and need to be sorted and answered quickly.

Trigger

  • You are starting or scaling outbound email and want it to run from your own systems.

Not suitable for

  • Teams without SMTP and IMAP access to their mailboxes.
  • High-volume bulk newsletters or marketing blasts. This is built for paced, personalised outreach.

02

Problem

Main problem

Cold email outreach involves sending, mailbox health, reply detection, unsubscribes, and follow-up conversations. These usually live in separate tools that do not share context.

Impact

  • Replies get missed or answered late.
  • Sequences keep emailing people who already replied or unsubscribed.
  • Mailbox reputation suffers when limits and bounces are not watched.

Current workarounds

  • Separate sequencer tools plus manual inbox checks.
  • Spreadsheets for leads and status.

Weaknesses

  • Data is split across tools.
  • Follow-up quality depends on who has time.
  • Little control over how emails are written or how decisions are made.

03

Benefit

Primary outcome

One outreach system in your own workspace that plans, writes, sends, listens for replies, and moves conversations toward your goal.

Key benefits

  • Personalised emails per lead and step, written by an AI helper that researches the lead’s website and checks your knowledge base.
  • Sequences stop automatically on real replies, bounces, and unsubscribes.
  • Mailbox caps, warmup, spacing, and health scoring are built in.
  • Interested replies get a next message from the Goal Pusher, or a draft for your review when a human should answer.
  • One dashboard for campaigns, leads, inbox, alerts, and logs.

Time to result

Depends on your mailbox setup and campaign content. No figures are claimed here.

04

How it works

Inputs

  • Leads (added manually, from CSV, or from the lead database inside the dashboard)
  • Sending mailboxes with SMTP and IMAP details
  • Campaigns with steps and an optional goal

How it works

  1. Engine 1 plans each lead’s next due step into a schedule.
  2. Engine 2 sends due steps inside business hours, respecting caps and warmup. It uses the writer AI helper, fixed templates, or hands off to another automation or outside tool.
  3. Engine 3 reads every mailbox, sorts replies with the Reply Classifier, stops sequences, and updates the suppression list.
  4. Engine 6 takes over replied threads when the campaign goal is set, and replies, saves a draft for review, or marks the goal reached.
  5. Engines 4 and 5 reset daily counters, advance warmup, and raise alerts for stuck work.

What is included

  • 1 data schema (13 tables plus indexes)
  • 1 dashboard App
  • 6 automations
  • 3 AI helpers

Prerequisites and limits

  • Requires a Postgres connector, the named API key and credential, and working SMTP and IMAP mailboxes.
  • Mailbox passwords are stored in your own database table. Protect access to it.
  • The writer and Goal Pusher prompts include sample company positioning that must be rewritten before use.

05

Use cases

1. Founder-led outbound

A founder contacts other founders, the writer personalises each first email, and the Goal Pusher sends the booking link once someone shows interest.

2. Multi-mailbox sending

A team spreads sending across several mailboxes with caps and warmup, and follow-ups always come from the same sender per lead.

3. Shared reply inbox

All replies from all mailboxes land in one dashboard inbox, already sorted by type, with threads that need attention flagged.

4. Human review for sensitive replies

When a lead asks about pricing or contracts, the Goal Pusher parks a draft in the review queue instead of answering on its own.

5. Hand-off to other automations

A campaign step hands the lead to another automation or an outside tool, for example to add them to a CRM.

06

Proof

Alternatives

  • Hosted cold email sequencer tools
  • Manual sending from personal inboxes

How this differs

  • Runs inside your own Orbitype workspace with your own data and mailboxes.
  • Every part (schema, dashboard, automations, AI helper instructions) is editable.
  • AI helpers decide on writing, reply sorting, and next replies, with a human review path.

Evidence

This package is a snapshot of a working setup. No performance figures are claimed.

Limitations

  • You manage your own mailbox deliverability, domain setup, and legal compliance for outreach.
  • Setup requires creating the named API key and credential, and editing the AI helper prompts.

07

Cost

Template price

The Template itself is free.

Usage that may cost credits

  • AI helper runs: one writer call per AI-written email, one classifier call per inbound email, one Goal Pusher call per new reply in goal-enabled campaigns.
  • Web research and LinkedIn tools used by the writer.
  • Lead database searches or imports started from the dashboard.

Costs depend on your usage. No prices are stated here.

Objections and answers

  • Is it hard to set up? You run one schema file, create one API key and one credential with fixed names, import the parts, and add your mailboxes. The setup guide lists every step.
  • Will it email people who already replied? No. Sequences stop on real replies, bounces, and unsubscribes, and suppressed addresses are checked again before every send.
  • Can the AI say something wrong? The helpers only use facts from the input and your knowledge base, and the Goal Pusher hands pricing, legal, and complex questions to you as drafts.
  • Do I lose control? Every automation, prompt, and screen is editable in your workspace, and sending can be paused from the dashboard at any time.
